From a new account to a working chat on your site in five steps: connect your AI provider, create a bot, add knowledge, test it and install it.

Create your account

Sign up
Enter your name (optional), work email, a password of at least 12 characters and your workspace name, usually your company. The workspace is created straight away and you are its owner.

Verify your email
Open the link in the email Verify your email for Kothadesk. It works once and expires in 24 hours. Until you verify, you cannot add provider keys, invite teammates or put a bot live. Use Resend link in the banner if it did not arrive.

Forgot your password? Use Forgot password on the sign-in page; the reset link works once, expires in 30 minutes and signs you out everywhere. Invited by a teammate? The invitation link is valid for 7 days.
Your first bot in five steps

Connect your AI provider
Kothadesk runs on your own AI key, so your provider bills you directly at their price. You need a chat model and an embedding model: an OpenAI or Google Gemini key covers both; Anthropic and xAI keys are chat only and need a second key for embeddings. See the Model providers guide.

Create the bot
Give it a name (shown in the widget header), a purpose (Customer support, Sales assistant, Documentation helper or Custom, which seeds its instructions and welcome message) and a language: Automatic answers each visitor in their own language. Your first valid keys are connected automatically.

Add knowledge
Enter your website or help centre address and press Start crawling, or upload files. The assistant answers only from what you add here. See the Knowledge guide.

Test it
The test chat opens as soon as the first document is ready. Ask the questions your customers ask and check the sources under each answer.

Install it
Allow your site's address, then paste one script tag before </body>. See the Install guide.
Tip: Until a chat key and an embedding key are connected, the widget shows temporarily unavailable and knowledge is not indexed. The yellow banner at the top of the bot pages tells you what is missing.

Tip: Voice calls are set per plan and no standard plan includes them; your platform administrator can enable them for your plan.

Worked examples
#Online shop
A clothing store's first afternoon
Answer size, delivery and returns questions on the store by the end of the day.
- One Gemini key for chat and embeddings.
- Bot purpose: Customer support. Knowledge: crawl the help pages and the size guide.
- Test with "Do you deliver to Shillong?" and "Can I exchange for a bigger size?", then paste the snippet into the store theme.
Clinic or bookings
A clinic with a PDF brochure
Answer timings, doctors and fees from the clinic's brochure.
- Upload the brochure and the fee list as files instead of crawling.
- Share the hosted chat page link on WhatsApp if the clinic has no website.

- An Anthropic key for chat plus an OpenAI key for embeddings.
- Bot purpose: Documentation helper. Knowledge: crawl the docs site's sitemap.
